Keikens LLC (“Keikens,” “we,” “our,” or “us”) is committed to protecting your privacy and ensuring the security of your personal information. This Privacy Policy explains how we collect, use, disclose, retain, and protect your information when you use our services (the “Services”), whether as a provider, user, or visitor to our platform. The Services include our Activity Platform (e.g., listings, registrations, payments, messages, reviews) and our Booking/Scheduling features (calendar connection powered by Nylas).

This Privacy Policy is cumulative and forms part of our Terms of Service. If any portion of this Policy conflicts with applicable local, state, or federal law, that law governs to the extent of the conflict.

Information Collection

We collect the following categories of personal information to operate and improve our Services:

Account Information. Name, email address, password, and account type (family or provider).

Optional Child & Family Information. Parents/guardians may voluntarily share information such as a child’s age, learning preferences, or neurodiverse support needs (e.g., ADHD, autism, dyslexia) to help personalize service recommendations. This data is never sold or publicly shared.

Service Activity. Bookings, messages, listings, reviews, and interactions within the platform.

 

Scheduling & Communications Data (via Nylas). If you use our booking and calendar features, Keikens connects to your email/calendar account through our scheduling provider, Nylas, Inc. (“Nylas”). We may process:

  • Scheduling metadata: invitee name, email, meeting title, meeting time, duration, time zone, location (e.g., video link or address), and reschedule/cancel events.

  • Availability data: free/busy windows and related availability signals (not full event contents).

  • Integration telemetry: device/usage data (e.g., IP address, browser/user agent) necessary to provide scheduling.

 

Keikens does not store your email contents. Access tokens used to connect your calendar/email are managed securely and can be revoked at any time (see Your Choices).

 

Device & Usage Data. IP address, browser type, session activity, and cookie identifiers collected automatically to improve functionality and security.

 

Payment Information. Payments are processed via Stripe and governed by Stripe’s privacy terms. Keikens does not store full financial information.

 

Information Provided by Others. We may receive information from other providers/users (e.g., interactions or policy violation reports) and from third-party service providers (e.g., email providers, payment processors) as needed to deliver the Services.

 

Children’s Information & Parental Consent

Keikens is intended for adults—specifically parents, guardians, and service providers. We do not knowingly collect personal information directly from children under 13. Any child-related information is voluntarily provided by a parent/legal guardian to help identify relevant services. When bookings involve services for a child, only the parent or guardian may provide the child’s information; scheduling metadata is used solely to coordinate appointments and is never sold or publicly shared.

 

Use of Information

 

We use information to:

  • Create and administer your account.

  • Provide customer support and respond to requests and reports.

  • Communicate regarding our Services.

  • Collect and store your content so other Providers and Users can interact with it (subject to your settings).

  • Personalize your experience.

  • Review support interactions to improve the Services.

  • Develop, test, and operate new features.

  • Provide scheduling/booking features via Nylas: connect calendars, surface availability, create/manage invitations, reminders, and updates.

  • Operate integrations securely: authenticate, refresh, and revoke OAuth tokens required for calendar/email connectivity.

 

Connecting You with Other Providers & Users

  • Enable Providers to list activities/experiences.

  • Enable Users to register for activities/experiences.

  • Allow Providers to manage registrations, bookings, and accept payments.

 

Ensuring Commitment to Community Guidelines

  • Monitor and act against users/content in violation of our policies.

  • Respond to user reports.

  • Use reported/prohibited content to improve systems for detecting policy-violating content or conduct.

 

Preventing & Removing Illegal or Unauthorized Conduct

  • Find and address ongoing, suspected, or alleged violations of our policies.

  • Develop automated countermeasures to prevent repeated offenses.

  • Enforce our rights as set out in our policies and agreements.

  • Communicate with users or third parties regarding actions taken.

 

Legal Compliance

  • Comply with legal requirements (e.g., court orders).

  • Report illegal content or conduct to law enforcement.

  • Assist law enforcement with investigations as required by law.

 

Marketing & Advertisement

Where legally permitted, we may use your information to provide relevant ads and send marketing communications. You can revoke consent at any time by emailing support@keikens.com with the subject line “consent for marketing and advertisement,” or by using unsubscribe links in our emails.

 

Personal Information We Collect (including Cookies & Technologies)

Automatic Collection. We may automatically collect IP address, user settings, MAC address, cookie identifiers, mobile advertising IDs, browser/device information, approximate location (derived from IP), ISP, pages visited, links clicked, content you interact with, frequency/duration of activities, and similar usage information.

 

Cookies & Similar Technologies. We and third parties may use cookies, pixel tags/web beacons, and similar technologies to:

  • Operationally necessary: enable login, identify irregular behavior, prevent fraud, improve security.

  • Performance-related: assess site performance and analytics.

  • Functionality-related: remember preferences and enhance features.

  • Advertising/targeting-related: deliver content/ads relevant to your interests on our Services or third-party sites.

 

Analytics. We may use tools such as Google Analytics to understand how our Services are used and to improve them. You can learn more about opting out through those providers’ documentation.

 

Scheduler Widgets. When you use our booking pages or embedded scheduler, session cookies and similar technologies help deliver the feature, maintain session state, and prevent fraud/abuse.

Disclosure of Information

For Access within the Services. When you share content on our Services, you authorize us to make that content available to other Providers/Users consistent with your settings.

Service Providers / Processors. We share information with vendors that help us operate the Services. These providers process personal information only on our instructions and are contractually required to protect it and restrict further use. Key service providers include:

  • Nylas, Inc. – scheduling and calendar/email connectivity (processing scheduling metadata, availability signals, and related logs to power booking). See the Nylas Privacy Policy: https://www.nylas.com/privacy-policy/

  • Stripe, Inc. – payment processing (we do not store full payment card details).

 

Legal Compliance. We may disclose information if required by law or to protect Keikens, our users, or third parties.

 

Enforcement of Policies and Rights. We may disclose information when necessary to enforce our policies or protect our rights, property, interests, and safety.

 

Aggregated/De-Identified Information. We may share anonymized or aggregated statistics that cannot reasonably identify an individual.

 

International Transfers

If personal information is transferred outside your state or country (including to the United States), we implement appropriate safeguards permitted by applicable law (e.g., Standard Contractual Clauses and similar mechanisms). Contact us to learn more about these safeguards.

Data Retention

We retain information for as long as necessary to deliver the Services, meet our commitments to users, and satisfy legal obligations.

Information retained until account deletion. Core account data (e.g., email and password).

Retention periods for specific purposes.

  • User Content. Stored for up to two years, then deleted or de-identified unless a longer period is required by law or to resolve disputes.

  • Scheduling/Booking metadata (via Nylas). Invitee details, event metadata, and related logs retained by Keikens for up to 24 months for audit trails, reminders, and dispute resolution, then deleted or de-identified. Nylas may retain limited logs consistent with its policy and legal obligations; see the Nylas Privacy Policy.

  • Database Backups. Retained per our cloud provider’s backup policies.

  • Compliance with Legal Obligations. Certain information may be retained longer to comply with law.

  • Terminated Accounts. Limited information (e.g., email) may be retained for up to two years or per provider policy for security, anti-fraud, and legal reasons.

  • Customer Support/Legal Claims. Support records retained for up to five years, or less per vendor policy, to address disputes or exercise/defend legal rights.

Account Deletion

You may delete your account in your settings or by contacting us. Account deletion is permanent. After deletion, we begin deleting your information and anonymizing or aggregating remaining statistics. Some data may be retained as required by law or for legitimate business purposes (e.g., tax/audit, dispute resolution), after which it will be deleted.

Information Protection

We use administrative, technical, and physical safeguards to protect your information. All information sent within our Services is encrypted in transit and at rest. We enforce role-based access controls and limit which employees and service providers may access personal information.

Your Choices

Scheduling & Calendar Controls (Nylas).

  • Disconnect calendars / revoke access: You may disconnect your calendar/email integration in your Keikens settings. You can also revoke Nylas access from your email/calendar provider’s security settings (e.g., Google/Microsoft account permissions).

  • Manage bookings: Reschedule/cancel from confirmation emails or within your Keikens dashboard.

  • Marketing preferences: Opt out of Keikens marketing emails via the unsubscribe link; Nylas does not send marketing on Keikens’ behalf.

Analytics & Cookies. Manage cookies in your browser settings. Disabling certain cookies may affect functionality. See provider opt-out tools where available.

Marketing Communications. Opt out via unsubscribe links or by emailing support@keikens.com.

“Do Not Sell or Share.” Keikens does not sell personal information and does not engage in “sharing” for cross-context behavioral advertising. If this changes, we will update this Policy and provide any required notice and opt-out mechanisms.

EU/UK Roles

For EU/UK data protection law, Keikens is the controller of personal information in our platform. For the scheduling feature, Nylas acts as our processor. Where applicable, we enter into data processing terms and implement transfer safeguards as described above.

Changes to this Privacy Policy

We may update this Policy from time to time. The “Last Updated” date reflects the latest version. For material changes, we will provide additional notice as required by law.
