Keikens Co. ("Keikens," "we," "our," or "us") is committed to protecting your privacy and the security of your personal information. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use our services (the "Services"), whether as a provider, user, or visitor to our platform.
 
The Services include our Activity Platform (including listings, registrations, payments, messages, and reviews), our AI-powered guidance and chat features, and our booking and scheduling features powered by Nylas.
 
This Privacy Policy forms part of our Terms of Service. If any portion of this Policy conflicts with applicable law, that law governs.
 
Information We Collect
 
We collect the following categories of personal information to operate and improve our Services.
 
Account Information Name, email address, password, and account type (family or provider).
 
Optional Child & Family Information Parents or guardians may voluntarily provide information about a child's age, learning preferences, disabilities, health-related considerations, or neurodiverse support needs as described by the parent or legal guardian (for example, ADHD, autism, dyslexia, or physical, sensory, or learning-related needs). This information is used only to help personalize service recommendations.
 
Some of this information may constitute "sensitive personal information" under U.S. state privacy laws and "special category data" (including data concerning health) under the EU/UK GDPR. We collect and process it only with your explicit consent, only for the purpose of personalizing recommendations, and we apply heightened safeguards to it. You may withdraw this consent at any time through your account settings or by contacting us.
 
Keikens does not independently evaluate, diagnose, or verify any disability or health-related information. This information is never sold or publicly shared.
Service Activity Bookings, messages, listings, reviews, and interactions within the platform.
 
AI-Powered Features (Anthropic) Keikens uses artificial intelligence to provide personalized guidance and chat-based support. When you interact with our AI features, the information you enter — which may include the optional child and family information you choose to share — is processed by our AI provider, Anthropic, PBC, solely to generate responses to you. Anthropic processes this information under its Commercial Terms and does not use your inputs or the AI's outputs to train its models. Anthropic retains this data only for a limited period for security, abuse-prevention, and legal-compliance purposes. Keikens does not use your conversations to train any AI model. The AI provides suggestions and information to support your decisions; it does not make decisions for you, and final choices about your family and providers remain entirely yours.
 
Scheduling & Communications Data (Nylas) If you use booking or calendar features, Keikens connects to your email or calendar account through our scheduling provider, Nylas, Inc. We may process scheduling metadata (such as invitee name, email, meeting title, time, duration, time zone, and location), availability data (free/busy windows only), and limited technical telemetry needed to provide the feature. Keikens does not store email contents. Calendar access tokens can be revoked at any time through your settings. See https://www.nylas.com/privacy-policy/.
Email & Marketing Data (Mailchimp) If you sign up for updates, join a promotion, or otherwise provide your contact information, we may process your name and email address through our email service provider, Intuit Mailchimp, to send product updates, onboarding emails, and service-related communications. You can unsubscribe at any time using the link in any email.
 
Sign-Up & Form Data (Tally) Certain registrations, promotions, and interest forms are collected through our forms provider, Tally. Information you submit through these forms (such as your name, email address, and any details you choose to share) is used to process your request and is transferred into our systems.
 
Device & Usage Data We may automatically collect IP address, browser type, session activity, cookie identifiers, approximate location derived from IP address, and usage patterns to support functionality, security, and service improvement.
 
Payments Payments are processed by Stripe and governed by Stripe's privacy terms. Keikens does not store full payment card information.
 
Children's Information & Parental Consent
 
Keikens is intended for adults, specifically parents, guardians, and service providers. We do not knowingly collect personal information directly from children under the age of 13. Any child-related information is provided voluntarily by a parent or legal guardian, used only to support the requested services, and never sold or used for advertising. If you believe a child has provided us information directly, please contact us at support@keikens.com and we will delete it.
 
How We Use Information
 
We use information to operate and improve our Services, including to:

  • Create and manage accounts

  • Provide customer support

  • Communicate about the Services

  • Enable interactions between families and providers

  • Provide AI-powered guidance and personalized chat support

  • Personalize user experiences

  • Improve and develop new features

  • Operate booking and calendar integrations securely
     

Sharing & Disclosure
 
Information may be shared with trusted service providers that help us operate the Services, including:

  • Microsoft Corporation (Microsoft Azure) — cloud hosting and infrastructure

  • Anthropic, PBC — AI-powered guidance and chat features

  • Nylas, Inc. — scheduling and calendar connectivity

  • Intuit Mailchimp — email and marketing communications

  • Tally — registration and interest forms

  • Stripe, Inc. — payment processing
     

These providers process information only on our instructions and are required to protect it.
 
We may also disclose information when required by law, to enforce our policies, or to protect the rights and safety of Keikens, our users, or others.
 
Aggregated or de-identified information that cannot reasonably identify an individual may be shared.
 
Marketing Communications
 
Where legally permitted, we may send service-related updates and communications. You may opt out at any time using unsubscribe links or by contacting us at support@keikens.com.
 
Cookies & Analytics
 
We use cookies and similar technologies for essential functionality, analytics, performance monitoring, and security. You can manage cookies through your browser settings, and where required by law we will request your consent before placing non-essential cookies.
 
Your Privacy Rights
 
U.S. State Privacy Rights
 
Depending on where you live, you may have rights under state privacy laws, including the Minnesota Consumer Data Privacy Act, the California Consumer Privacy Act (as amended by the CPRA), and similar laws in other states. These may include the right to:

  • Access and obtain a copy of the personal information we hold about you

  • Correct inaccurate personal information

  • Delete your personal information

  • Limit the use and disclosure of sensitive personal information

  • Opt out of the "sale" or "sharing" of personal information (note: Keikens does not sell personal information, and does not sell or share child or family information under any circumstances)

  • Not receive discriminatory treatment for exercising your rights


To exercise any of these rights, contact us at support@keikens.com. We will verify your request and respond within the timeframes required by law. You may designate an authorized agent to make a request on your behalf.
 
EU / UK Data Protection
 
For EU and UK data protection purposes, Keikens acts as a data controller. Our service providers, including Anthropic (AI features) and Nylas (scheduling), act as processors. Where we process sensitive or special category data, our legal basis is your explicit consent. You have the right to access, correct, delete, restrict, or port your data, to object to processing, to withdraw consent at any time, and to lodge a complaint with your local supervisory authority.
 
International Transfers
 
If information is transferred outside your state or country, we apply appropriate safeguards permitted by applicable law, including standard contractual clauses where required.
 
Data Retention
 
We retain information only as long as necessary to provide the Services and meet legal obligations. Retention periods vary by data type and purpose and may include:

  • Account data retained until deletion

  • User content retained up to two years

  • Scheduling metadata retained up to 24 months

  • Support records retained up to five years

  • AI conversation data retained by our AI provider for a limited period for security and legal-compliance purposes and not used for model training

  • Backups retained according to cloud provider policies
     

Account Deletion
 
You may delete your account through your settings or by contacting us. Some information may be retained for legal or operational reasons and then deleted or anonymized.
 
Information Protection
 
We use administrative, technical, and physical safeguards designed to protect personal information. These include encryption in transit and at rest, access controls, and ongoing monitoring through our cloud infrastructure and service providers.
 
In addition, Keikens implements centralized security controls for systems and users with access to sensitive data, including:

  • Device management and compliance enforcement

  • Endpoint protection and threat detection

  • Multi-factor authentication (MFA) and identity-based access controls
     

Access to systems is restricted to authorized personnel using compliant, secured devices.
 
If a security incident involving personal information occurs, Keikens follows documented incident response and notification procedures and notifies affected parties without undue delay following confirmation and internal assessment, as required by law.
 
Your Choices
 
You may manage calendar connections, booking preferences, marketing communications, cookies, and consent to processing of sensitive information through your account settings or browser controls.
 
Changes to This Policy
 
We may update this Privacy Policy from time to time. Material changes will be communicated as required by law.
